Counseling Policies & Client Agreement

Welcome to Healthy Hive! We look forward to working with you to resolve your family’s nutrition challenges and bring joy back to mealtimes. The following guidelines have been established to facilitate our work together. Healthy Hive Family Nutrition, LLC (“Healthy Hive”) provides nutrition services from registered dietitians. RDs are trained professionals in the field of nutrition, however, they are not physicians trained to diagnose and treat medical problems. Any information or guidance given during our counseling session is not intended to replace a medical diagnosis or advice from a medical provider. As a client, you agree to keep Healthy Hive up-to-date on any pertinent health or medical changes that might arise during our time working together.

 

Healthy Hive provides evidence-based solutions to family nutrition challenges. Oftentimes, these nutrition challenges take time and patience in order to see results. The success your family achieves in this nutrition program depends on your willingness to implement change in a consistent manner, practice patience, and follow up with Healthy Hive as needed for additional support. Healthy Hive makes no claims, guarantees, or warranties regarding the results your family should obtain under its direction.

 

Confidentiality Policy

Your privacy is very important, and all sessions will be held in strict confidence. If we feel that it would be beneficial, we may request a release of information to obtain medical records from your child’s provider. You are not required to sign this release if it is requested.

 

Billing Policy

Payment for counseling services is due 24 hours in advance to confirm your appointment. A receipt will be provided for services rendered.

 

BCBS Insurance

Healthy Hive is in-network with BCBS insurance. As every insurance plan differs, we recommend contacting BCBS and asking the following questions to best understand what your plan will cover:

  • Do you cover the following CPT codes in a telehealth setting: 97802 (initial), 97803 (follow-ups). Please be very clear that it is a telehealth service as this may or may not affect your coverage.

  • What is my financial responsibility, if any?

  • Do you cover this session using ICD-10 code Z71.3 (Dietary counseling and surveillance), or is a medical diagnosis required from a physician? If a medical diagnosis is required, we can provide you with a referral form to submit to your child’s medical provider.

  • How many sessions are allowed?

Please note: any expenses not covered by BCBS will be client responsibility and an invoice for the remainder due will be sent to you for payment.

 

HSA/FSA Payments

Healthy Hive does accept payment via HSA or FSA card. However, it is your responsibility to verify if your plan covers nutrition services. Oftentimes, nutrition counseling is covered, but a Letter of Medical Necessity (LMN) is required by a physician. Ultimately, you are responsible for any charges that are not covered by your plan, so we recommend that you verify with your provider prior to booking a service. If you book a service using HSA or FSA that is later rejected by your provider, you are still responsible for full payment to Healthy Hive Family Nutrition, LLC, and your payment will not be refunded.

 

Out-of-Network Insurance Claims

For clients that would like to submit a claim to insurance (other than BCBS): We can provide you with a Superbill that you can submit to your insurance company if you have out-of-network coverage. A Superbill is a detailed receipt of services provided by a healthcare practitioner. Submitting a Superbill may reduce your out-of-pocket expense for nutrition services. However, not all insurance companies cover nutrition services. It is your responsibility to determine what your insurance may or may not cover and to make decisions accordingly. Payment for services is still due at the time of booking, and any reimbursement from insurance would go to you directly as Healthy Hive would have already been paid for services provided.

Cancellation and Refund Policy

We've got a lot on our plate, and our time is valuable just like yours! We ask that you contact us as soon as possible if you need to cancel or reschedule your appointment. You can e-mail us at contact@healthyhivenutrition.com to request a cancellation/reschedule. Appointments that are cancelled at least 24 hours prior are eligible for a full refund or may be rescheduled for a later date. Appointments that are cancelled less than 24 hours in advance will be charged a $50 cancellation fee. This fee also applies to clients using insurance for payment. The $50 cancellation fee will be sent to you via invoice and is the client's responsibility.

 

Lateness Policy

We understand that life can be hectic, and sometimes it’s challenging to be right on time to an appointment. If you are running late, we will hold your appointment for 15 minutes from the scheduled start time. If you arrive to our session within this time frame, we will gladly honor your appointment, but your session will not be extended past its scheduled time. After 15 minutes, your appointment will be forfeited, and you will not be refunded. We understand that technical issues may arise when conducting sessions virtually. Please try to arrive a few minutes early to our virtual appointment to ensure that any technical issues are resolved prior to our meeting so that we may have as much uninterrupted time with you as possible during our session.

 

Telehealth Policy

Healthy Hive Family Nutrition, LLC is a telehealth service. This means that through interactive video connection, you will be able to consult with a registered dietitian about your child's nutrition or health concerns. By consenting to this agreement, you understand that we will be using video conferencing for appointments as well as communicating via phone and e-mail as needed.

 

The potential risks with video conferencing technology are:

 

1. The video connection may not work or it may stop working during the consultation.

2. The video picture or information transmitted may not be clear enough to be useful for the consultation.

 

The benefits of telehealth consultation are:

1. I do not need to travel to the consult location.

2. I have access to a specialist through this consultation.

 

In the case of any technical difficulties that interfere with our ability to meet via telehealth conferencing, we will work with you to reschedule or find a different method of communication as needed.
